A PO Box is a good address and a poor way to read your mail. The address never changes and nobody else's post gets mixed in with yours, but someone still has to go to the post office, during opening hours, to find out what arrived. A virtual PO box keeps the first part and removes the second: the box is emptied for you, each item is scanned, and you decide online what happens to it.
This guide explains what a virtual PO box in Australia actually is, how it differs from renting your own Australia Post box, what it cannot do, and what it costs to run.
A virtual PO box is a postal address that a mail service collects from and handles on your behalf. With HotSnail it is not a made-up label: it is a real Australia Post PO Box on the Gold Coast in Queensland, and your mail is addressed to it with your own customer code so every item is matched to your account.
When something arrives, it is collected from the box, logged against your account and the envelope is photographed. You get an email, log in from any device and choose what to do with it:
"Virtual PO box", "virtual mailbox" and "mail scanning service" describe the same kind of service in Australia. The difference that matters is not the name but the address type you get, which is covered below.
Renting a PO Box directly from Australia Post gives you the address and nothing else. You pay the rental, you hold the key, and the mail sits in the box until you collect it. That works well if you live or work near the post office and check it regularly.
A virtual PO box suits the people for whom collecting is the problem:
Our PO Box vs virtual mailbox comparison sets the two side by side, including the cost of each over a year.
Most mail is happy with a PO Box: bank and super statements, government letters, bills, cards, renewals. But some things need a street address:
Every HotSnail customer gets the Gold Coast PO Box by default, because it has the fastest mail processing. If you also need a street address, you can request a Gold Coast street address from your account after you sign up, at no extra cost. It is a residential property, not commercial premises, and it is not offered as an ASIC registered office. Our registered office guide explains what that rule requires, and the PO Box vs street address comparison works through which address belongs in which field.
The virtual mailbox setup guide walks through each of these steps in detail, including the order to update your senders in.
Pricing models differ between providers. Some charge a flat monthly fee that includes a set number of scans; others charge per action. HotSnail charges per action (scan, open and scan, forward) plus postage, with an optional monthly plan that lowers the per-item price, and the first 30 days of storage are free. The current fees are on the pricing page.
Comparing on headline monthly price alone is misleading. What you pay over a year depends on how much mail you get and how much of it you need forwarded. Our guide to what mail forwarding costs in Australia works through real examples, and the cheapest virtual mailbox comparison shows how to compare providers on total annual cost.
A virtual PO box is the right choice if your problem is getting to your mail rather than having an address: you're away, moving, or simply don't want a trip to the post office to find out what's arrived. If you'll be at one new address and can read your mail there, an Australia Post redirection may be cheaper. Our redirection vs virtual mailbox comparison covers that choice.
HotSnail has run a mail forwarding service in Australia from the Gold Coast since 2009. If a virtual PO box suits you, setup takes about fifteen minutes.
