Six stages, from the boxes in your storeroom to documents your staff can actually find. You do not need to sort, unstaple or label anything first.
Before anyone quotes a number, we want to see one real box. Either drop one to us on the Gold Coast, and we will give you the address when you book, or we will collect it. We scan it free and send you the output.
This matters more than it sounds. What a box costs to process depends almost entirely on how much hand work the paper needs, and nobody can tell that from a phone call. Seeing a box means we can give you a fixed price for the whole job rather than a range, and it means you can judge the quality before you have committed to anything.
Dropping your boxes to us on the Gold Coast is free, and we will give you the address when you book. If it is easier, we will collect from your office anywhere between the Gold Coast and Brisbane, including Logan, Ipswich and the Tweed. Pickup is charged, as is the handling time at either end, and the same applies to bringing your originals back afterwards. We quote both up front with the job so there are no surprises.
Every box is logged and labelled when it leaves your premises, and you get that list. From that point, we can tell you where any box is at any time.
This is the slow part and the part that decides the price. Staples and clips come out, folded pages are flattened, tears are repaired, and sticky notes are moved so they do not cover text.
We keep the original order. If a bundle was fastened together, it stays together as one document so the relationship between those pages is not lost.
Production scanners, 300dpi, double-sided in one pass. For reference, that is considerably faster than an office multifunction and it does not jam its way through a box of mixed paper.
This is the part other bureaus do not do. Rather than handing back one PDF per sheet, we work out where each real document starts and ends, read it, and name and tag it from its contents.
Where the AI is not confident, it says so. The document is still filed, still searchable, and flagged for a human to check rather than given a confident wrong answer. If the AI is unavailable, the run stops before anything is filed rather than processing a batch badly.
Documents go wherever you work: a SharePoint library with metadata columns you can filter, your own system through its API, a cloud drive, or an encrypted USB.
You get an audit report listing every file we handled and what became of it. Then your originals either come back to you, or we shred them and send a certificate of destruction. If you would rather think about it, we can store them in the meantime. Return, shredding and storage are quoted with the job, and collecting the boxes yourself costs nothing.
A small job, up to about fifteen boxes, is normally back with you within two to three weeks of collection. Larger projects run in batches so you start getting documents back early rather than waiting for the whole archive. If you need it faster, a five business day turnaround is available at +30%.
If there are files you might need while the job is running, tell us which ones and we will scan those first and send them straight back.
Send us a rough count of boxes and what is in them. We will come back with a fixed price, not a range. If it is easier, we will collect a sample box from your office on the Gold Coast or in Brisbane and scan it free so you can see the output before you commit.
