Document scanning in Brisbane

We collect across Brisbane, Logan and Ipswich, scan an hour down the road rather than interstate, and give you back documents your staff can actually search. From $100 a box, or $60 an hour for ongoing work.

We are not a Brisbane company

We are on the Gold Coast, and we would rather tell you that than put a serviced office address on a map. What it means in practice is that your boxes travel about an hour down the M1 and come back the same way.

Worth knowing when you compare quotes: several bureaus advertising in Brisbane are based in Sydney or Melbourne and freight your archive thousands of kilometres each way. Ask whoever you are talking to where the scanning physically happens, and who handles the boxes in between. It is a fair question and the answer is sometimes surprising.

Brisbane has good bureaus. Here is what we do differently

The established Brisbane bureaus have been turning paper into images for decades and are perfectly competent at it. Three things set us apart, and one thing does not.

The AI reads it

Files come back named by what they are, with metadata attached, instead of Scan0001 to Scan4312. The industry bills that per field because a person types it. We do not.

Our prices are published

Every other bureau we looked at quotes privately, so you cannot compare them. Ours are on the site, with the conditions attached.

We write software

Delivery into SharePoint with real metadata columns, or into your CRM through its API. Built free on contracts of 6 months or longer.

And the thing that does not

If your job is going to tender, or you are a government agency, the older Brisbane bureaus hold ISO 9001 certification and government panel listings that we do not yet have. We would rather you heard that from us than found out at the evaluation stage. For most private businesses it makes no difference; for a council or a department it may decide it.

Where we collect

Across greater Brisbane and the southern corridor. If you are further south, see the Gold Coast page, where drop-off is free.

What it costs

From $100 per archive box of loose paper that feeds through a document scanner, covering scanning, OCR, AI indexing and delivery. Or $60 an hour for ongoing work, which requires a minimum of 5 hours booked each week. Pickup from Brisbane is charged, including handling time either end, and quoted with the job.

Stapled, bound, torn or oversize paper is quoted after we have seen a box, because the cost is hand-handling time and nobody can judge that over the phone. We will scan one box free so you can see the output and we can give you a fixed price rather than a range.

Brisbane questions

Do you have a Brisbane office?

No, and we would rather say so than pretend otherwise. We are a Gold Coast business that runs a regular Brisbane collection. Your boxes travel about an hour down the motorway, not interstate, and they come back the same way. Several bureaus that advertise in Brisbane are actually in Sydney or Melbourne and freight your archive thousands of kilometres, so it is worth asking whoever you are comparing us with where the scanning physically happens.

How does the Brisbane collection work?

We come to your office, log and label every box in front of you, and give you that list. From then on we can tell you where any box is at any point in the job. Pickup is charged, including the handling time at either end, and returning your originals afterwards is charged the same way. We quote both up front so there are no surprises.

Is it cheaper to bring the boxes to you?

Yes. Dropping boxes to us on the Gold Coast is free, and so is collecting them at the end. For a small job where someone is heading south anyway, that can be worth doing. For anything more than a car load, paying for the pickup is usually the sensible option and we will tell you which works out better.

How do you compare with the established Brisbane scanning bureaus?

Brisbane has several long-standing bureaus and they are good at what they do, which is turning paper into images. Two things separate us. The first is that our AI reads each document and names and tags it, so you get files called by what they are instead of Scan0001, and we do not bill that per field the way the industry does. The second is that we publish our prices, which almost nobody in this industry does. If credentials matter most to you, for instance government tender work, the older bureaus hold ISO 9001 and government panel listings that we do not.

Can you put our documents into SharePoint or our own system?

Yes, and this is the part most bureaus do not do. We are a software company, so we deliver into a SharePoint library with real metadata columns, or push documents into your CRM or practice management system through its API. On contracts of 6 months or longer we build that integration at no charge, or build you a searchable cloud document library if you do not have anywhere sensible to put them.

Do you cover Logan and Ipswich?

Yes. Logan, Springwood, Underwood, Browns Plains, Ipswich and the southern corridor generally sit on the way between us and Brisbane, so they are easy runs for us.

Brisbane business with an archive to clear?

Tell us roughly how many boxes and what is in them. We will collect one, scan it free so you can see what comes back, and quote the rest as a fixed price.
